Getting started
Set up your school profile
Name, logo, contact details and how they appear on reports and invoices.
Open School settings → Profile. Add your official school name, physical address, contact email and phone.
Upload a square logo (PNG or SVG). It appears on report cards, invoices and the parent app header.
Save changes — they apply immediately for new documents. Re-generate open report drafts if needed.
Import students & staff
Spreadsheet upload, guided migration, or start empty and add people later.
Download the student or staff CSV template from Users → Import.
Map columns for name, class/stream, guardian phone and role. Preview rows before confirming.
Prefer hands-off migration? Choose “Migrate for me” during setup and share exports of your current system.
Configure classes and streams
Forms, streams, class teachers and subject allocation.
Go to Academic → Classes. Create each form/grade and optional streams (e.g. 10A, 10B).
Assign a class teacher and subjects. Teachers only see classes they are linked to.
Use bulk copy to clone last year’s structure when starting a new academic year.
Invite your team
Send invites by email or phone with the right role from day one.
Users → Invite. Enter email or phone and pick a role (Admin, Teacher, Bursar, etc.).
Invitees receive a link to set a password or log in with SMS code.
You can revoke access or change roles any time without losing historical records.
Start a free trial from the website
How marketing trial forms connect to your real school workspace.
On dshule.com, open Start free trial and enter school details. We store your request and notify our team.
Complete the setup wizard (modules, calendar, invites). This captures preferences for onboarding — it is not the full product yet.
When credentials are ready, sign in at app.dshule.com (Log in in the marketing header). Book a demo if you want a guided walkthrough first.
Demo school vs live school app
What is sample preview data versus your production workspace.
The marketing Demo school is a product preview with sample data. Changes are not saved to a real school.
Your live school runs in the product app (School Command). Log in with credentials issued during onboarding.
For multi-campus or district rollouts, request a demo so we can plan migration and training.
Switch language (English / Kiswahili)
Use the language menu on the marketing site and in the product where enabled.
On the marketing site, open the language control in the header (EN/SW) and pick English or Kiswahili.
Your choice is remembered in the browser for future visits.
In the product app, language options depend on school settings and portal (parent/student apps support both where enabled).
Academic & exams
Enter marks and grades
Tests, exams and continuous assessment in the gradebook.
Academic → Gradebook → select class and assessment.
Enter marks online or upload a CSV. Weighting follows your grading scheme.
Lock an assessment when moderation is done so late edits require admin unlock.
Generate report cards
Term and annual reports with rankings and comments.
After marks are complete, open Reports → Generate for the term.
Review class rankings, comments and attendance summary before publishing.
Publish to parent/student portals or print PDFs for distribution day.
Run end-of-year promotions
Bulk move students to the next grade with exceptions.
Academic → Promotions. Select source year and destination classes.
Flag repeaters or transfers individually before confirming the bulk move.
Fee structures and class lists update automatically after promotion.
Build the timetable
Periods, rooms and clash detection for teachers and classes.
Define periods and rooms under Academic → Timetable settings.
Assign lessons per class. Dshule warns on teacher or room clashes.
Students and teachers see their schedule in the portal apps.
Fees & finance
Create fee structures
Per grade, term or individual student fee plans.
Finance → Fee structures. Add line items (tuition, transport, meals).
Attach a structure to a grade or override per student for scholarships.
Generate invoices for the term in one action when ready.
Record mobile money payments
M-Pesa, Tigo Pesa, Airtel Money and bank transfers on one ledger.
Open the student invoice → Record payment → choose method.
Enter reference ID from the mobile money SMS for reconciliation.
Receipts can SMS or appear instantly in the parent portal.
Send payment reminders
Automatic or manual nudges for outstanding balances.
Finance → Reminders. Choose overdue threshold and channel (SMS/app).
Preview the message template before enabling automatic runs.
Respect quiet hours — reminders send during school office windows by default.
Reconcile the ledger
Match deposits to invoices and export for accounting.
Finance → Ledger filters by method, date and status.
Link unmatched deposits to the correct invoice with search by student name.
Export CSV for your accountant or external accounting package.
Users & access
Add users and assign roles
Least-privilege access for admins, teachers, bursars and parents.
Users → New. Pick role templates or customize module permissions.
Teachers default to their classes only; bursars see finance without academic edit rights.
Review access quarterly from Users → Roles audit.
Reset a password
Admin-assisted recovery from the product app.
Sign in at app.dshule.com. If you cannot access your account, contact your school admin or Dshule support.
Admins can reset passwords from Users → person → Security, or platform admin tools for school staff.
After a reset, change the temporary password under Account → Password.
Parent & student portals
Free unlimited accounts on Growth and above.
Link guardians to students under the student profile.
Parents see attendance, grades, fees and messages for linked children only.
Students see timetable, homework and results when published.
Audit trail and restore
Who changed what, and how to recover deleted records.
Every edit is logged under the record’s History tab.
Deleted items go to Trash for a retention window before permanent removal.
Restore from Trash restores links to classes and invoices where possible.
Messaging & alerts
Send announcements
School-wide or class-level notices in app and SMS.
Notifications → New announcement. Choose audience (all, role, class).
Write once; deliver in English and/or Swahili if both are enabled.
Track delivery status for SMS sends from the announcement detail page.
Set up absence alerts
Notify guardians the same morning when a student is marked absent.
Enable absence alerts under Notifications → Attendance.
Teachers mark attendance by period or day; guardians get SMS/app push.
Exclude approved leave so planned absences do not trigger alerts.
SMS & email settings
Sender IDs, quiet hours and channel preferences.
Configure default channels per notification type in Settings → Messaging.
Set quiet hours so non-urgent messages wait until morning.
Test send to your own number before enabling school-wide templates.
Notification templates
Reusable copy for fees, results and events.
Templates support variables like {{student_name}} and {{balance}}.
Duplicate a template before editing so you keep a known-good version.

Downloads are CSV/JSON standard formats for portability.

Backups and retention

Dshule runs automatic daily backups with a defined retention window.
Point-in-time restore is available via support for serious incidents.
Your export rights remain available independently of backups.

Start from built-in roles and narrow permissions only when needed.
